Who can access the NEMIS portal?

To use the system, you must have a username and password provided by the system administrator. Users of the NEMIS portal include the Ministry of Education, development partners, the National Treasury, KNEC, TSC, and other educational statisticians.

What is the UPI in NEMIS?
“Unique Personal Identifier” is what UPI stands for. Each teacher, student, and staff member in Kenya’s educational system is granted a unique identity number.

How to Find Your NEMIS UPI Number

- Visit their official site.
- Choose your registration options.
- Click the activation menu.
- You will receive an SMS with your code in it.
- Enter the supplied code (OTP) and transmit it to your phone.
- You will receive an automated message with your NEMIS number on it.
System requirements for accessing NEMIS.
To access NEMIS with ease, you will need the following:
- A laptop or desktop computer running Windows Vista or a newer operating system.
- The PC must have a processor with a speed of at least 2.4 GHz.
- You must have 1 GB or more of random access memory (RAM).
- Your PC also need 120 GB of free hard drive space.
- You may use any browser. However, for the best user experience, choose Google Chrome above the other browsers.
- To access the papers downloaded from the system, you’ll need applications like Open Office, Microsoft Office, and Microsoft Excel.
- You’ll need access to the internet. The source must have a speed greater than 2MBPS. This speed can only be achieved via 3G, 4G, or 5G connectivity.
- To capture photographs of your students, you’ll need a digital camera.
- You’ll need a printer.
- If your school has a large population, you may need IT support people.
NEMIS Registration Procedure
Here are the procedures to log into the NEMIS platform:
- Launch your browser.
- Visit the NEMIS portal (www.nemis.education.go.ke).
- To begin the registration procedure, tap the “Register (if new)” button.
- Enter your personal information, including your organization, username, gender, email, department, and category.
- After filling out all of the text boxes, tap the “Save” button to save the details.
- You will receive a message whether the registration procedure was successful.
NEMIS modules
This system consists of the four essential segments listed below:
1. Institutions module.
It documents registration and other physical elements of a certain institution. The segment includes six sub-modules, which are listed below:
Institution registration: Please use this part to register your institution.
School infrastructure includes all equipment and fixed assets.
School utility: Information on the utility name and type can be found here.
Co-curricular activities are documented in this section. This might include the moment and all of the school’s highest achievements.

2. Learners Module

A unique personal identification (UPI) is generated automatically by the NEMIS system by entering a birth certificate, ID, or unknown numbers.

Performance progression: The learner’s performance in question will be tracked from primary to tertiary level.

3. Staff Module

Teacher Mobility: For teachers, transfers, and histories
Teaching areas indicate the disciplines taught by the teacher in question.
Study fields include the training pursued.
Teacher obligations: Lists all of the responsibilities allocated to a teacher.
4. Financial module
This part captures an institution’s income and spending details. They include:
Fees: Indicates the charge structure.
Set up a capitation for payment to the public school in question.
Income returns list all the money received by the school for a certain year.
Development fund: Includes all government-funded initiatives in a given year.
Expenditure returns: The amount of money a school spent, the accomplishments made with the cash, and other facts are recorded.
How to Register a School in NEMIS.
The following is a technique for registering schools on NEMIS.
Fill up your account login information: You should first set up an account. After that, you’ll have access to the platform. To log in, you will need to provide your NEMIS number and email address.
Navigate to “Institutions Module”: This option will appear on the main menu once you have logged in to the system.
Tap “Institutional Registration” in the Institutions Module.
Register your institution. Fill out the supplied form. Make sure you provide the proper information. Confirm and proofread for mistakes and omissions. Once you’re certain that everything is in order, submit the forms.
Note the given UPI number: You will receive a UPI number for the secondary or primary school that you have joined to the system.

How to Register Students on NEMIS (Form 1).
To add new Form 1 pupils to the education system, follow the method outlined below:
Receive their admission letters: The initial step should be to get their school reporting documentation. These publications include critical information that you will need during this treatment. The education website allows you to download NEMIS admission letters for National, Extra County, and County school students.
Login to the NEMIS platform: Use your school’s UPI and password to do so. To access this system efficiently, ensure that you meet all of the prerequisites specified above.
Go to the “Learner” module. This option will appear as soon as you are routed to the dashboard.
Tap “Admit/Capture request”: This option is available via the drop-down menu.
Search for the student information in the system: You only need to enter his/her KCPE Index or UPI number. Once completed, tap the search button. NEMIS will retrieve the student’s information and display it to you.
Admit the pupil. Tap the “ADMIT” button to enroll the student at your university.
Confirm if their information is correct. Select “View Learner” from the “Learners” menu. Correct any misleading information.
How to register primary school students.
The process for registering students in NEMIS is a little difficult. This is due to the fact that the learners are not in the system and must have their information manually entered. Follow the instructions below for primary school portal registration.
Log into your account: Use your institution’s login information.
Go to the “Learners” module. This option will appear as soon as you reach the dashboard.
Navigate to the Registration tab: Remember, you are enrolling a new student, not admitting them.
Capture their information: Enter their name exactly as it appears on their birth certificates, as well as their grade and talent. Make sure the information you provide is correct.
Attach their photograph: To take this passport-sized photo, use your digital camera or phone. The picture should be clear.

How to Receive a Transferred Student

Log into your account: Use your school’s NEMIS information to do so.
Go to the “Learners” module. The module will become available as soon as you log in to the system.
Tap “Receive Learner”: This option is found on the Learners’ tab drop-down menu.
Search for the student: Enter his/her UPI or index number. Tap the search button. NEMIS will handle your request in seconds. Proceed to the following step after reviewing the student’s profile. If you can’t, it’s possible that they’re not registered, or you’ve entered the incorrect UPI/Index number.
Admit the student: Click the “Admit” button.
The admission request will be added to the “List of Admission Requests” tab. You can admit the student as soon as the appropriate Ministry authorizes your application.
How to Release Students for Transfer:
If one of your students wishes to attend another school, take the steps below to remove him/her as one of your admitted students:
Log into your account: To access the NEMIS system, use the right login information.
Navigate to the “Learners” tab, which is available from your dashboard.
Tap “Release Learner”: When you set your cursor on the “Learners” tab in the main menu, this option will appear in the drop-down menu below the module.
Look for the student you wish to release: Navigate to the student’s profile.
Release the student: In their profile, you will see an option to erase any students who wish to transfer.
How to acquire your learners without a birth certificate in NEMIS Portal?
NEMIS routinely registers learners using their birth certificate number as a unique identification. However, if a learner does not have a birth certificate, other kinds of identification, such as a national ID card for those over the age of 18, can be used to register them in the system.
NEMIS Registration Deadline

Is the UPI number the same as the Assessment number?
While UPI and assessment numbers differ, they serve the same goal. Each student who takes KNEC exams is assigned a unique personal identification number (UPI). This could be a NEMIS UPI number issued by the Ministry of Education or a KNEC assessment number for individuals who do not have a NEMIS.
