KNEC Certification Letter for Lost Certificates: How to Get it
What is a letter of certification?
A letter of certification is formal affirmation that a certain piece of information is correct. A letter of certification may include dates, titles, and the names of all parties involved in the certified interaction.
The Kenya National Examinations Council (KNEC) made it clear that it does not provide certificate replacement services to Kenyans who have misplaced their papers.
KNEC stated that it can only provide a valid certification letter in place of a misplaced certificate.
The certification letter is issued after a KSh 5,200 charge has been paid.
However, the certification letter cannot be received unless the certificate holder provides a copy of the result slip that shows their missing document.
How to obtain a KNEC certification letter
The certificate bearer is required to create an account on the KNEC portal.
After completing the registration process and logging in to the account, they select the “lost certificate” option and provide the following information: the index number, type of examination, and year of the examination.
Subsequently, they submit a copy of the national identity card, a passport-size photo, a police abstract, and confirmation documents from the registrar of persons, as well as a copy or result slip of the missing certificate.
Upon submission of the aforementioned documents, a prompt is sent to the registered phone number, prompting the certificate holder to submit a KSh 5,220 fee.
Once the certification letter has been prepared for collection at the KNEC offices and the process is finalized, they will be notified.
In the interim, the holder may monitor the progress through their portal.
Applicants are expected to apply online for certification letters through the Query Management Information System (QMIS). This can be attained by typing http://qmis.knec.ac.ke.
Required Documents
- Copy of certificates or results. From 1926 to 2012, result slips are applicable for all examinations except the Primary School Examination. (Primary School Examination Result Slips from 2013 printed from the KNEC website/system are valid.) (Mandatory

- Copy of National ID/Passport or Birth Certificate for persons under 18 years, with a copy of National Identity Cord for at least one parent/official guardian: Mandatory.
- A confirmation from the registrar of persons on the applicant’s identification must be acquired and given to KNEC at the point of application: (Mandatory
- The candidate will be required to submit one color passport-sized photograph. (Mandatory)
- Copies of all of these documents must be submitted online as part of the application.
- Details of fees payable
- The charge for certification of examination results letter is KES. 5.220.00 (five thousand two hundred and twenty only), inclusive of VAT per examination results certification letter.
- The payment will be made via MPESA. After KNEC verifies the paperwork, the system generates and sends the applicant a unique pay bill and account number specifying the amount to be paid. Collection of Examination Results CERTIFICATION
- On presentation of the original National Identity Card/valid Passport, the owner must acquire certification at the examination results letter in person. Minors must be accompanied by one of their parents or formal guardians, along with their authentic National Identity Card and birth certificate.
- Certification of Examination Results Letters that are not collected within TWO (2) years after the application date will be disposed of without further contact and will not be refunded.
FURTHER INFORMATION:
Once issued, the certification of examination results letter cannot be replaced.
After all requirements are met, it takes fifteen (15) working days to process the certification of examination results letter.

Before asking for examination results certification letters, the applicant must verify that their certificates have been lost or damaged.
The names on the National ID, passport, or birth certificate must match those used during the examination. Applicants who have legally changed their names must include the legal documentation needed to change their name. For example, a woman’s marriage certificate or a copy of the Kenya Gazette containing the altered name. Swom affidavits are not acceptable.
Applications with different examination details or those have not met all of the standards will be denied 5.7. If the application has been pending, the applicant must delete the prior application and all of its attachments and repeat the procedure from scratch, ensuring that the correct information/missing papers are uploaded.

Applicants must apply for certification of examination results letters online and then visit the KNEC offices to obtain the processed certification letters after receiving an SMS alert.
Manual or emailed applications, including bank deposit slips, will not be accepted.
